Smart Scheduling Strategies for School-Based Therapists

New school year! New schedules! New challenges and new opportunities to build a schedule that works. But how? 

 

There is no magic formula (we wish there was!); however, there are key strategies that can help to support this. 


Start with the Big Picture & Map Out your Workload
This may include consideration of:

  • How many students and minutes to service?
  • Are delivery methods direct, consultative or classroom based?
  • Note holidays, early dismissals, testing or other school-wide events


Work the Schedule Don’t Let the Schedule Work You
The most successful school-based therapy schedules are a result of collaborative efforts among all team members. It is important, for example, to gain insight into school day routines for both staff and students. Designing a schedule that feels supportive to you as the therapist, to staff and students rather than stressful or disruptive. 


It is essential to remain flexible and it is rare that schedules survive the full school year unchanged. Students may transfer, IEPs may be updated or there may be other changes within the school as a whole. Design with flexibility in mind and consistency in a timetable. Consistency builds trust and demonstrates commitment while decreasing resistance for change or transitions.

When drafting the schedule, include regular times for documentation and other professional responsibilities. Clearly communicate with others on the team to prevent conflicts. By structuring schedules and considering the wellness of all, this allows for more time to focus on what matters the most: supporting students in achieving their fullest potential.

Save time on weekly administrative tasks and open more time for student care by utilizing solutions such as:

  • Google Calendar
  • Microsoft Bookings
  • Schedule Once
  • Calendly
  • SMART goal trackers


Time Blocking Strategies for Maximum Productivity

  1. Dedicate specific days to specific schools.
  2. Group students by grade level or classroom.
  3. Schedule similar interventions together
    • Morning: Fine motor groups
    • Afternoon: Sensory integration


Each school environment is unique and the perfect schedule will evolve over time. A strong foundation followed by continued refinement of details along the way. The schedule can even weeks into the school year feel like an obstacle, a big one. It is more so an opportunity to build a successful pathway through the school year adventures day by day to find that last missing piece to make it “just right.” 


Schedules are meant to help and to guide. Reflection and adjustments along the way are natural. Now go on your way and build a consistent schedule that works this school year!
